An online store connected to your business management

An order arrives through your website. Someone then checks stock, copies the details into your management software and prepares the shipment. If that is your daily routine, building or renewing your online store is also an opportunity to review how information moves through the business.

The buying journey needs to be clear for customers, and each order needs to fit your working process. Planning both parts from the outset helps define a better project.

Start with the buying journey

A product page should answer the questions that shape a purchase: specifications, variants, price, availability and delivery options. Conditions and costs needed to make the decision should be easy to find. Review how someone completes a purchase on a phone and which details you ask for at each step.

For a large catalogue, categories and filters should match how customers search. If you are considering AI-assisted search, the quality of product attributes and information remains the starting point.

Decide where each piece of information is maintained

Before connecting tools, establish which system is the reference for each type of information. If prices are maintained in your management software and sales descriptions on the website, that division needs to be clear. For each important item, define:

  • The source: where products, variants, prices and stock are updated.
  • The direction: which information goes to the website and which returns to your management system.
  • The timing: when synchronisation happens and what delay is acceptable.
  • Exceptions: how issues are detected and who reviews them.

Prioritise connections that remove the most work

The catalogue, stock and incoming orders are often useful areas to examine. You may also need to connect carriers, invoicing information or other sales channels. The scope depends on your working process and each tool's integration capabilities.

If you sell to professional customers, consider whether they need account access, different prices or an account approval process. These are business decisions to settle before developing the features.

Test the complete journey

Testing does not end when a purchase is confirmed. Check what happens to stock, order details, payment and shipment steps. Include cases such as an unavailable variant, a cancellation or a temporarily interrupted connection. The system should make it possible to see what happened and resume the work.

If the business is already operating, consider a phased introduction: implement the essential process first, then the next improvements, with checks before each expansion.
